A Voiceover Job Is 80% Decided Before You Choose the Voice

The most common mistake in voiceover ordering is spending too much time looking for “a talented voice” while failing to define what you actually want that person to deliver. The result is predictable: the first take misses the mark, revisions pile up, editing gets delayed, and internal approvals take longer than expected. In real projects, one retake can easily add ¥5,000 to ¥30,000 in extra cost, and the overall schedule may slip by one to three business days.

The tool that prevents this is a creative brief. It is not just a memo. It is a one-page decision sheet that compresses performance direction, brand strategy, and risk controls into a format everyone can understand quickly. A strong brief aligns the narrator, audio director, video team, and client with minimal back-and-forth.

The 5 Essentials Your One-Page Brief Must Include

If a brief is too long, people will not read it. The ideal format is one A4 page or a single screen in Notion or Google Docs. At minimum, it should contain these five elements.

1. Target Audience

“Women in their 30s” is not enough.
In practice, you should define age, situation, listening environment, and emotional expectation.

Example:

  • Age 35–49
  • IT decision-makers considering a BtoB SaaS product
  • Watching on smartphones during commuting, usually with earphones
  • Prefer trust and clarity over high energy

This level of detail helps determine brightness, emphasis, phrasing, and line endings.

2. Tone

Words like “bright” or “calm” are too open to interpretation.
A better method is a five-point scale.

  • Brightness: 2/5
  • Energy: 3/5
  • Premium feel: 4/5
  • Friendliness: 2/5
  • Pace: 3.2–3.8 characters per second

Once tone is quantified, comparing candidates and giving revision notes becomes dramatically easier. For ads and corporate videos in particular, pace guidance directly reduces editing costs.

3. Prohibited Expressions

This is where many avoidable problems happen. Do not only ban words—also ban undesired reading styles.

Example:

  • No overhyped sales tone
  • No rising sentence endings that sound too casual
  • For a global brand, avoid theatrical or overly dramatic delivery
  • Words like “absolutely” or “guaranteed” may be restricted for legal or compliance reasons

When boundaries are clear, the narrator can be creative within a safe frame.

4. Reference Audio

Do not send only one sample. The best approach is to assign 2–3 references with different purposes.

  • A: ideal pacing
  • B: ideal emotional distance
  • C: similar industry tone, but something to avoid

Share them via unlisted YouTube, Vimeo, Frame.io, or Google Drive, and always add time-coded notes.
For example: “00:12–00:19 has the restrained persuasive tone we want” or “The softer ending at 00:31 is not necessary.”

Never just say, “Something like this.” Reference audio is not for imitation. It is for aligning judgment criteria.

5. Differentiation from Competitors’ Voices

This is critical in brand work.
If Competitor A sounds “fast, youthful, energetic” and Competitor B sounds “heavy, authoritative, formal,” your brand might define itself as “intelligent, concise, sincere.”

Three adjectives are enough.

  • Less pushy than competitors
  • More information-organized in tone
  • Lower emotional temperature, but not cold

That one section can prevent the classic mistake of getting a read that is polished but sounds like someone else’s brand.

A One-Page Template You Can Use Immediately

Copy and paste the following:

  • Project name:
  • Usage media: Web commercial / YouTube / trade show / e-learning etc.
  • Length and script size: 60 sec / 220 Japanese characters
  • Delivery format: 48kHz / 24bit / WAV / mono
  • Target audience:
  • Listening/viewing situation:
  • Objective: awareness / comparison support / lead generation
  • Tone scale: Brightness __/5, Energy __/5, Premium feel __/5, Friendliness __/5
  • Pace target: __ characters per second
  • Prohibited expressions / prohibited reading styles:
  • Words to emphasize:
  • Reference audio URL:
  • Notes on references:
  • Differentiation from competitors:
  • First reviewer:
  • Expected revision rounds: up to 1 / up to 2
  • Live session required: Zoom / Source-Connect / none

Why the Brief Directly Affects Cost Estimates

When discussing budgets, many people focus only on who to hire. A more important factor is how much ambiguity you create.
A weak brief often makes even a low-cost order expensive in the end. A clear brief reduces candidate screening time, test recording needs, and revision rounds, sometimes lowering total project cost by 10–30%.

In particular, projects that include reference audio, prohibited expressions, and competitor differentiation tend to achieve much better first-take accuracy. Narrators can design the performance more confidently, and quoting becomes more precise because they do not need to add extra safety margins.

The Professional Conclusion

A good voiceover does not begin with a good voice. It begins with a good ordering design.
The creative brief is the most important document that shows how prepared the client really is. One page is enough. But because it is only one page, it must be highly specific.

The next time you order narration, do not start with “Who should I hire?” Start with “How should I communicate the intent?”
That is where 80% of the outcome is decided.
